Terms and conditions
The hirer shall be responsible for the health and safety of all those attending the event. In particular the hirer shall make themselves aware of the fire evacuation procedure and provide for those with mobility requirements. The grounds have uneven terrain and wheelchair access can be challenging in some areas. Please ensure you have a plan for catering for guests with mobility requirements.
Longfords Estate does not supply, sell or serve alcohol as any part of our venue hire. The hirer is responsible for the safe, sensible, and moderate serving and consumption of alcohol to their guests on premises. The hirer acknowledges they will comply with all Alcohol Legislation. You must hire at least one licenced and dedicated Bar Manager for the duration of your event (first guest arrival to last guest departure). The bar must be cleared packed down and cleaned by the end of the function (12pm), including sorting any recycling relating to beverages into the appropriate bins provided. Note: BYO does not mean that your guests will bring their own beverages on the day. You as the hirer are required to provide the beverages to store in our on-site chiller.
Access is available the following morning to pack and take away any hired equipment, props, decorations and your florals.
The hirer shall be liable for any loss or damage (however caused) to either the premises, grounds or the fixtures, fittings and furnishings therein by the client, client’s guests, invitees or other persons attending the function. We require a $500 bond in case of such an event.
Longfords Estate do not accommodate non-commercial caterers. Caterers must be professional and fully self-contained/mobile, they have access to kitchen prep area, with power and water only.
The hirer shall ensure all contracted parties hold public liability insurance. We accept no liability for any loss or damage caused by a contracted party. Contracted parties will be asked to provide a certificate of insurance confirming their cover prior to the day. We reserve the right to not admit suppliers who are unable to show cover. Please discuss with us and potential vendors about this early on.
All electrical equipment used onsite must be PAT (portable appliance test) tested and tagged. Untagged or expired items will be unable to be used.
No children (under 14 years old) to be left unattended on the property. All children must be fully supervised by a parent or guardian.
Smoking is strictly prohibited inside the marquee as is the dropping of ANY cigarette remains anywhere on the property, except in the designated smoking area. A penalty fee will apply if cigarette butts are found on the grounds the following day.
Do not feed the livestock, and ensure that gates into paddocks remain closed at all times. For safety reasons, entry into any paddock must be arranged in advance.
If you have a special request to include your pet in the ceremony, please discuss it with us before your event.
Hirers must remain at the venue until the conclusion of the function. When the hirer leaves the function it is deemed to have concluded.
Longfords Estate shall not be liable for any damage or loss (howsoever caused) to any property belonging to or under control of the hirer, or any injury to those using the venue.
If the venue cannot be made available to the client for causes beyond our control (e.g. fire, earthquake) then we reserve the right to substitute a similar date or cancel with prior notification of change. The client under these circumstances may opt to proceed with the new date or cancel the event and have the deposit repaid in full.
Agreement on changing the event date due to COVID restrictions is possible between the hirer and Longfords Estate. Yet, if you choose to cancel your booking entirely, the deposit remains non-refundable.
Maximum number of attendees at a function at Longfords Estate is 200. However seated dining is capped at 180.
Longfords Estate retains the right to make alterations or enhancements to the property as deemed necessary, without prior consultation.
A wedding rehearsal can take place the day prior to your wedding, within 1.5 hours.
Music must be played indoors from 6.00pm. No music is to be played on the property after 12.00am.
Longfords Estate has many stunning spots across the property perfect for capturing beautiful photos. Should you wish to explore these unique locations, please inform us. We’re happy to coordinate with your photographer, and ensure that our livestock accommodates your needs. For visits to our scenic sunset photo spot overlooking the farm, either Longfords’ venue manager or Longfords’ farm manager must accompany you.
All your belongings, props, hired equipment, flowers and foliage must be removed from the property by 10.30am the morning after the function.
Confetti is not permitted on Longfords Estate grounds, however throwing fresh flower petals is permitted.
Longfords Estate hires a professional cleaner for the marquee and toilet facilities after every event. Please check the grounds for any rubbish, bottles, and ensure the removal of cigarette butts from the area.
Site visits / planning meetings must always be booked by appointment with the venue manager
Bookings and payment policy
The 25% deposit is $2,075 and is nonrefundable (outside of situations mentioned in clause 14).
There is a $250 fee for changing the event date. The rescheduled date must fall within 12 months of the original date, or there might be adjustments in the venue hire charges.
Additional 25% of balance to be paid 3 months prior to event and the final balance to be paid no later than 14 days prior to your event.
Failure by client to make payments on time may be deemed by us to be a cancellation of this contract.
A bond of $500 applies and is payable one month before your event date.
Bonds will be refunded (less any deductions for loss, damage or cleaning etc) by direct credit within 5 working days following the event.
In the event of the property being sold, Longfords reserves the right to cancel contracts. However, we will provide a notice of no less than 12 months prior to your wedding date if such a situation arises.
